7:45 p.m. by Bill Cook. John & Tom were not present. Old
Business:
New
Business: ( 1.
Linda
provided information on the final repaving bid submitted by
Brooks Brothers. The
three bids, (K&K Paving, Dominion Paving & Brooks
Brothers) were discussed and evaluated with the intention of
awarding the contract to repave Lakewinds II. 2.
After
a lengthy discussion, a motion was made and passed to award the
paving contract to Brooks Brothers and to allow Linda the
latitude to commit up to $70K of Cluster assessment and reserve
monies to accomplish paving; additional drains under walkways if
required, additional curb work and staining curb repairs.
The repaving is expected to begin within the next few
months. 3.
The
final discussion of the evening focused on developing the July
2003 – 2004 budget for the annual cluster meeting.
After reviewing the remaining monies from the 2002-2003
budget and based on the anticipated expenses, three motions were
made and passed: a.
The
first is to allow the grounds manager to inquire and negotiate a
three year contract to clean the carport gutters.
Providing the rates remained consistent over three years. b.
Coordinate
with Rain Dance Roofing and Remodeling to repair cluster
carports. The
budgeted cost is not to exceed $10K per year.
This effort will be subject to annual review and approval.
The carport repair was initially planned to begin last
year however the board elected to delay the effort an additional
year to facilitate accomplishing the repaving effort. c.
Abate
the current special assessment of $80 for repaving and maintain
the cluster dues at $300 per quarter per household. Next meeting:
Cluster Annual Meeting, Tuesday 13 May 2003 at 7:00 pm in
the Langston Hughes School cafeteria.
